Privacy Policy

TutorWick collects the name, email address, WhatsApp number, country, subject and grade you enter on our booking form, and uses them only to arrange and deliver your lessons. We do not sell personal information and we do not use it for targeted advertising. A parent or guardian can ask us to access, correct or delete their child's information at any time by emailing info@tutorwick.com.

1. Information we collect

TutorWick collects only the information it needs to arrange and teach a lesson. Everything below is information you give us directly or that is created while we teach you; we do not buy personal information from anyone else.

  • Booking details you enter on the trial-booking form: who needs a tutor, the subject and grade, your name, your country, your email address and your WhatsApp number.
  • Lesson records created while we teach: attendance, the topics covered, diagnostic results, and the written summary a tutor sends after a lesson.
  • Messages you send us by email or on WhatsApp, and our replies.
  • Standard technical information your browser sends when it loads a page, such as the page address and the browser version, together with the IP address your connection is using. We keep the IP address only for a few minutes, and only to stop the same connection from submitting our forms over and over.
  • Measurement and advertising cookies set by Google Analytics 4 and the Meta (Facebook) Pixel — but only if you accept them. The first time you visit we ask, and nothing is stored on your device until you choose; if you decline, Google receives only anonymous, cookieless counts and Meta receives nothing at all. If you accept, these record which pages you visit, roughly where you are, and whether you completed a form, and they let Meta recognise a return visit across other sites. When you submit a form we send those services the subject, exam board, year group and country you chose, so we can see which subjects families ask about — we do not send them your name, email address or phone number. To change your mind, clear this site's stored data in your browser and we will ask again.

2. Why we collect it

  • To contact you about a trial class you asked for, confirm a time and answer your questions.
  • To match a tutor to the subject, grade and time zone you gave us.
  • To teach lessons, and to send you the written summary and recommended study plan that follow them.
  • To keep our own record of what was taught, so that a question or a complaint about a lesson can still be answered afterwards.

We do not sell personal information, we do not pass it to advertisers, and we do not use a student’s information to target advertising at them.

3. Our lawful basis for using it

When you submit the booking form you are asking us to get in touch, so we handle your booking details in order to take the steps you have requested and, once lessons begin, to carry out our agreement with you. We keep lesson records and correspondence because we have a legitimate interest in being able to show what was taught and to answer a later question about it.

Where a law that applies to you requires your consent instead, we ask for it, and you can withdraw it at any time by emailing info@tutorwick.com. Withdrawing consent does not affect anything we did before you withdrew it.

4. How long we keep it

We keep a trial-booking enquiry for twelve months from the day you send it, so that we can answer a follow-up. If you become a student we keep your lesson records for as long as you are with us and for three years afterwards, so that a query about a past lesson can still be answered. Email and WhatsApp threads are kept for the same periods.

When a period ends the information is deleted. You can ask us to delete it sooner, and section 6 explains how.

5. Who else sees it

TutorWick does not sell personal information. It reaches other people and services only where running a lesson requires it, and only as far as each of them needs.

  • Our tutors and academic consultants, who see the details relevant to teaching or scheduling your lessons.
  • Our email provider. Submitting the booking form sends the details you entered to TutorWick as an ordinary email over an authenticated SMTP connection secured with TLS, so the provider that carries that email necessarily handles it in transit and stores it in our inbox.
  • The messaging and video services a lesson runs on, such as WhatsApp, which handle the messages and calls you exchange with us under their own terms.
  • Anyone we are legally required to disclose information to, and only to the extent required.

6. How to see, correct or delete your information

Email info@tutorwick.com from the address you gave us, or message us on +1 (343) 512-9334, and tell us what you want. You can ask for a copy of the information we hold about you, ask us to correct anything that is wrong, ask us to delete it, or ask us to stop contacting you.

A parent or guardian can make any of these requests on behalf of a child. We answer within 30 days and we do not charge for it. If our answer does not satisfy you, tell us and we will explain what we did and why.
